1. Introduction & Scope

Mendry, Inc. (“Mendry,” “we,” “our,” or “us“) is a nonprofit organization recognized as tax-exempt under Section 501(c)(3) of the Internal Revenue Code. We are committed to respecting the privacy of our Sponsors and to handling Sponsor information responsibly and in accordance with applicable laws.

This Sponsor Privacy Policy describes how we collect, use, store, and protect information about individuals and organizations who support Mendry through donations (collectively, “Sponsors“). It applies to information we collect through:

  • Online donation forms and payment pages

  • Offline giving (e.g., checks, wire transfers, pledge forms)

  • Email, mail, phone, and in-person Sponsor interactions

This Sponsor Privacy Policy supplements our general Privacy Policy. If there is a conflict between the two regarding Sponsor information, this Sponsor Privacy Policy will prevail.

2. Information We Collect from Sponsors

2.1 Information You Provide

In connection with donations or pledges, we may collect:

  • Contact Information

    • Name

    • Email address

    • Mailing address

    • Phone number

    • Organization/employer (if applicable)

  • Donation Details

    • Donation amount(s)

    • Donation date(s) and frequency (e.g., one-time, recurring)

    • Method of giving (e.g., online card, check, ACH, Sponsor-advised fund, corporate match)

    • Designation or restriction (e.g., program, campaign, “in honor of/in memory of”)

  • Payment Information

    • Limited billing information (e.g., billing ZIP/postal code, last four digits of a card number)

    • We do not store complete credit/debit card numbers or CVV codes in our systems. Card payments are processed by third-party payment processors (e.g., Stripe, PayPal, or similar providers) on our behalf.

  • Other Voluntary Information

    • Preferred recognition name (e.g., “Anonymous,” family name, organization name)

    • Communication preferences (e.g., email only, mail only, no phone)

    • Notes you choose to include with a gift or pledge

2.2 Information Collected Automatically

When you visit our donation pages online, our website and service providers may collect limited technical information (e.g., IP address, browser type, device information) for security, fraud prevention, and analytics purposes, as described in our General Privacy Policy.

3. How We Use Sponsor Information

We use Sponsor information for the following purposes:

  1. Processing Donations and Pledges

    • To process and verify your donation or pledge.

    • To issue receipts and acknowledgments

    • To manage recurring gifts and Sponsor-advised fund distributions

  2. Communicating with Sponsors

    • To send tax receipts and gift acknowledgments

    • To provide updates on the impact of your giving, program news, and organizational developments

    • To respond to your inquiries, preferences, or requests

  3. Fundraising & Stewardship

    • To invite continued or additional support where appropriate

    • To manage Sponsor recognition (e.g., listings, honor rolls) consistent with your stated preferences

    • To analyze giving patterns (in aggregate or at a Sponsor level) to better understand and steward our Sponsor community

  4. Compliance, Recordkeeping & Risk Management

    • To comply with legal, tax, and accounting obligations (e.g., audit, IRS reporting)

    • To prevent, detect, and investigate fraud or misuse of donation channels

    • To enforce our policies and protect Mendry, our Sponsors, and the public

We do not use Sponsor information for automated decision-making that has legal or similarly significant effects on individuals.

4. How We Share Sponsor Information

4.1 No Sale or Rent of Sponsor Data

Mendry does not sell, rent, or exchange Sponsor personal information with third parties for their own independent marketing or fundraising purposes.

If our practices change in the future, we will update this Policy and provide appropriate notice and choice mechanisms consistent with applicable law.

4.2 Service Providers & Payment Processors

We may share Sponsor information with trusted third-party service providers who assist us in:

  • Processing donations and payments (e.g., Stripe, PayPal, bank/ACH processors)

  • Sending emails, mailing acknowledgments, and managing Sponsor databases/CRM systems

  • Hosting our website and donation forms

  • Providing accounting, audit, legal, or other professional services

These service providers are provided only the information necessary to perform their functions and are contractually required (where applicable) to protect Sponsor information and use it solely for our purposes.

4.3 Public Acknowledgment & Recognition

We may publicly acknowledge Sponsors (for example, in an annual report or on the website) by name and/or giving category, unless you:

  • Request to remain anonymous when making your donation, or

  • Otherwise, notify us that you do not wish to be publicly recognized.

We do not disclose specific donation amounts in public Sponsor lists unless you explicitly agree.

4.4 Legal, Safety, or Organizational Reasons

We may disclose Sponsor information if we reasonably believe:

  • We are required to do so by law, regulation, or legal process (e.g., subpoena, court order);

  • It is necessary to protect the rights, safety, or property of Mendry, Sponsors, or others; or

  • It is necessary as part of an audit, merger, reorganization, or similar nonprofit corporate transaction, subject to this Policy or a successor policy that provides similar protections.

5. Sponsor Communications & Opt-Out

We value the opportunity to keep Sponsors informed about the impact of their support and Mendry’s work as a 501(c)(3) charitable organization. However, Sponsors may choose how (or if) they hear from us:

  • Required Communications

    • We will send you transaction-related communications (e.g., receipts, acknowledgment letters, and important updates about a pledge or recurring gift). These are necessary for processing your gift and maintaining accurate records.

  • Optional Communications

    • We may send you newsletters, invitations to events, or other updates about fundraising or programs.

You may opt out of optional communications at any time by:

  • Clicking the “unsubscribe” or “manage preferences” link in an email, or

  • Email us at privacy@mendry.org specifying your preferences.

Opting out of optional messages will not affect our ability to send you donation receipts or other required transactional communications.

6. Retention of Sponsor Information

We retain Sponsor information for as long as reasonably necessary to:

  • Process and acknowledge contributions

  • Maintain accurate financial and donation records.

  • Comply with legal, tax, and regulatory requirements.s

  • Manage Sponsor relationships and preferences.

Retention periods may vary depending on the type of information and applicable laws (for example, financial records are typically retained for a minimum number of years under tax and accounting regulations). When Sponsor information is no longer needed, we will delete, anonymize, or otherwise securely dispose of it.

7. Security

Mendry takes reasonable administrative, technical, and physical measures to help safeguard Sponsor information against loss, theft, misuse, unauthorized access, disclosure, alteration, and destruction.

Examples include:

  • Use of reputable, PCI-compliant payment processors for card transactions

  • Restricted access to Sponsor databases on a need-to-know basis

  • Use of secure connections (HTTPS) for online Sponsor pages, where feasible

No system or method of transmission is entirely secure. While we strive to protect Sponsor information, we cannot guarantee absolute security. Sponsors are encouraged to use strong, unique passwords for any accounts associated with our Services and to notify us if they suspect any unauthorized activity related to their donations.

8. Access, Correction & Preferences

Sponsors may request to:

  • Access certain personal information we hold about them;

  • Correct inaccurate or incomplete contact information;

  • Update communication preferences (e.g., email vs. mail, frequency); or

  • Request that we limit or cease certain types of optional contact.

To do so, please contact us at sponsor@mendry.org or via any contact method provided in our official communications. We may need to verify your identity before fulfilling specific requests.

In certain circumstances, legal or regulatory requirements may limit our ability to delete specific sponsor records (for example, those we are required to retain for tax or audit purposes).

9. Children’s Information

We do not knowingly solicit or accept donations directly from children under the age of 13. Suppose we become aware that we have received personal information from a child under 13 without obtaining the necessary consent. In that case, we will take reasonable steps to delete such information as required by law and to address the donation in a compliant manner.

10. International Sponsors

Mendry is based in the United States. If you donate from outside the U.S., your personal information may be transferred to, stored in, and processed in the U.S. or other countries whose data-protection laws may differ from those in your jurisdiction.

Where required, we apply appropriate safeguards (such as contractual protections) to such transfers. By donating or interacting with us, you acknowledge that your information may be processed in the United States and other jurisdictions where we or our service providers operate.

11. Relationship to General Privacy Policy

This Sponsor Privacy Policy is intended to complement our broader Privacy Policy, which covers additional topics (e.g., cookies, website analytics, directories, and user accounts). In cases where both policies apply to Sponsor information and a conflict arises, this Sponsor Privacy Policy will take precedence for Sponsor-specific practices.

12. Changes to This Sponsor Privacy Policy

We may update this Sponsor Privacy Policy periodically to reflect changes in our practices, our use of third-party processors, or applicable law.

When we do, we will:

  • Update the Effective Date at the top of this Policy; and

  • Post the updated Policy on our website (and, where required by law or appropriate, provide additional notice).

Your continued donations or engagement with Mendry after we post an updated Policy will signify your acceptance of the revised terms.
